Questions about the integration
Do I need a Zapier account?
Yes. Zapier has a free tier that covers basic automations. You'll connect Apprentice to Zapier using an API key from your Apprentice settings.
Is the Zapier integration free?
The integration itself is included on all Apprentice plans, including Free. Your Zapier plan determines how many Zaps and tasks you can run.
What's the difference between artist keys and shop keys?
Artist keys scope everything to one artist — their clients, appointments, and payments. Shop keys cover all artists in the shop, so a single Zap can serve the entire team.
Can I test my Zaps without affecting real data?
Yes. Create a test API key in your Apprentice settings. Test keys work identically but operate on a separate environment, so your real client data is never touched.
What happens if I hit the rate limit?
Zapier will automatically retry the request. Rate limits vary by plan — Free gets 10 requests per minute, Pro Artist gets 30, and Pro Shop gets 60.
Can I limit what a key can access?
Yes. When you create an API key, you choose which permissions (scopes) to grant — for example, read-only client access or full appointment management.
When are triggers coming?
Outbound triggers are planned for a future update. They'll let Apprentice notify Zapier when events happen — like a new booking or completed appointment.
